Not Your Father’s Office: Implementing Technology to Create the Virtual Office
|
While this model may still work for large corporations or other Fortune 500 companies, there are scores of small business owners who simply cannot afford to set up their enterprise in a traditional office. The high costs of renting or leasing an office space are, oftentimes, overbearing and force many entrepreneurs to reconsider their business plans or fold altogether. Many of these owners returned to their homes and set up home offices so that they could do all of their work from the comfort of their den, basement or spare bedroom. As long as one could put up with the distractions the home office certainly provides (distractions like television, radio, family matters and daily chores around the house), working from home was ideal. However, as rapidly as technology is progressing in this age, even the conveniences the home office provides have become outdated. Whether in the home or in a traditional office, workplaces have quickly become museums for relics like fax machines, in/out bins and tower hard drives. To keep the pace with rapidly changing trends, entrepreneurs are turning to the virtual office. Thanks to the technology available, business owners are given the ability to conduct their business from just about anywhere. Your office could be in your home, in your car, at the local cafe or even on top of a mountain! With virtual office technology, you are the office. Furthermore, several different persons can work from the same virtual offices—your virtual office could be located on different streets or in different countries while still seeming to be one unit. Customers are still able to call a main business phone number and are greeted by an auto attendant that communicates a consistent message. The caller is then able to select a party's extension and be transferred to the point of contact. Customers may never know if they are being transferred across the room to a different cubicle or across the globe! With the advantage of having an auto attendant constantly taking calls, business owners have a greater ability to set their own hours. Calls are answered 24 hours a day, everyday of the year, whether or not the call is made before or after hours, on weekends or on holidays! No matter the time, callers are able to reach their destination. Furthermore, the auto attendant helps to screen calls, so that you can take the calls you are expecting or looking forward to while disregarding other calls that you know are not as important or will eat up valuable time. Best of all, high overhead costs are dramatically decreased or eliminated altogether. Those who work in virtual offices do not need to worry about the high costs of owning or renting a building or the prices of utilities. With the money they save, business owners can afford to upgrade their virtual office equipment and hire nothing but the finest talent, regardless of where that talent resides! The virtual office is changing the very definition of the workplace and it is shifting the way business is done.
